Khalsa Shaouni Lions Sports Club (KS Lions)
1. Purpose
This policy outlines how KS Lions collects, uses, and protects personal information of coaches and defines the rules and expectations during onboarding and participation with the club.

2. Information We Collect (Coaches)
As part of onboarding, we may collect:
Full name, date of birth, and contact details
Address and emergency contact information
Coaching experience and qualifications
Working With Children Check (WWCC) details
Police check / background check information
Identification documents (if required)
Bank details (if applicable for payments/reimbursements)

3. Use of Information
Your information will be used to:
Assess your suitability as a coach
Complete safety and compliance checks
Manage team assignments and schedules
Communicate club updates and responsibilities
Maintain a safe environment for players

4. Background & Police Checks
KS Lions is committed to child safety.
By applying as a coach, you:
Consent to Police Checks and background verification
Agree to provide valid WWCC (Working With Children Check)
Understand that failure to meet compliance may result in rejection or removal

5. Privacy & Data Protection
Your personal information will be kept confidential and used only for club-related purposes
Information will not be shared with third parties without consent, except where required by law or governing bodies
Reasonable steps will be taken to protect your data from misuse or unauthorised access

6. Coach Code of Conduct (Rules)
All KS Lions coaches must:
✅ Professional Behaviour
Act with integrity, respect, and fairness at all times
Represent KS Lions positively on and off the field
Maintain appropriate language and behaviour

✅ Child Safety
Prioritise the safety and wellbeing of all players
Avoid any inappropriate contact or behaviour
Follow all safeguarding policies and reporting procedures

✅ Commitment
Attend scheduled training sessions and matches
Communicate availability and changes in advance
Be punctual and prepared

✅ Team Environment
Promote teamwork, inclusion, and equal opportunity
Encourage positive attitudes and sportsmanship
Support players’ development over winning

✅ Communication
Maintain respectful communication with players, parents, and club officials
Avoid conflicts or handle them professionally through the club

7. Media & Promotion
Coaches may appear in photos/videos used for club promotion (website, social media).
If you do not consent, you must notify the club in writing.

8. Breach of Policy
Failure to comply with this policy or code of conduct may result in:
Warning or suspension
Termination of coaching role
Reporting to relevant authorities (if required)

9. Consent & Agreement
By submitting your application and joining KS Lions as a coach, you confirm that:
You have read and understood this policy
You agree to comply with all rules and responsibilities
You consent to background and police checks
You acknowledge that your role is subject to club approval and ongoing compliance
